Event Planners Guide
Booking – Rental of the CrossPlex is arranged through the Event Managers. Facilities and dates will be held up to seven business days pending receipt of CrossPlex Event Request Form. Facilities and dates are considered a firm or contractual commitment only upon execution of a Licensed Agreement and deposit by the event stakeholder and the CrossPlex specifying the details of the commitment.
Catering – Olympia Catering is our exclusive in-house caterer. All Food and Beverage must be arranged through Olympia.
Damages – Client is responsible for any damages to the building, furnishings or equipment. Damages of any kind should be reported to CrossPlex Management.
Deposit – 25% of total fee due upon execution of agreement. Remaining balance is due 20 days following receipt of invoice for fees due.
Exclusive Services – Food and Beverage is to be arranged exclusively through our in-house caterer, Olympia Catering. No outside Food or Beverage is allowed in the CrossPlex.
Guest Services – During events the front desk in the administration office will be able to assist with local information on restaurants, hotels, upcoming events and transportation.
Insurance – Proof of Insurance is required for all events staged at the CrossPlex at the levels specified in the agreements for such services.
Load-In/Load-Out – Loading or unloading is permitted only through the loading docks. No loading or unloading is permitted through the front of the building. NO EXCEPTIONS.
Parking – The Birmingham CrossPlex provides over 1,000 parking spaces located on property. There are front and rear turnabouts for bus and van drop-off as well as dedicated bus/van parking located in the back parking lot. The parking lot is equipped with 26 handicap parking spaces. There is a $5.00 parking fee for sporting events at the CrossPlex and a $5.00 parking fee for specialty events held at Bill Harris Arena.
Security – The CrossPlex reserves the right to require security personnel, police and paramedics for the purpose of public safety, crowd management and logistical control as it relates to events.
Shipping and Receiving – No packages or freight will be accepted until 14 business days of the event. Alternate arrangements can be made through event management. Return shipments are the sole responsibility of the client and pick-up arrangements should be made through event stakeholder.
Technical Services – The IT Department of the CrossPlex has an extensive inventory on-site to handle all of your A/V needs as well as personnel for set-up and operation. Other A/V equipment may be brought into the facility; however, CrossPlex personnel are not responsible for set-up and/or operation.
Union – The CrossPlex is a non-union, right-to-work building. Clients may load, unload and assemble any equipment needed
